How to Write a Job Application Email With Resume (With Sample)
Resume & Applications · 3 min read · Updated: 22/10/2026

When a job post asks you to apply by email, your email is the first thing the recruiter reads, even before your resume. A clear, short and polite email shows that you can communicate well. This guide gives you a simple format and a sample you can adapt.
Before you write
- Send only to the contact in the genuine post. Do not send documents to unknown people or to jobs that ask for money.
- Use a professional email address, such as your name with some numbers, not a nickname.
- Update your resume. Save it as a PDF, one page for freshers.
- Name the file clearly, for example "Priya-Sharma-Resume.pdf". Avoid names such as "resume-final-2.pdf".
The subject line
The subject line decides whether your email is opened. Keep it specific:
- "Application for Customer Support Executive: Priya Sharma"
- "Fresher Application: Data Entry Operator, Noida"
If the job post gives a reference number or a subject line to use, use exactly that.
The body of the email
Keep it to 5 or 6 short lines:
- Greeting: Dear Hiring Manager, or the person's name if you know it.
- Why you are writing: the role you are applying for and where you saw it.
- Two or three lines about you: your course, your key skills and one project or experience that matches the job.
- A closing line: thank them for their time and mention that your resume is attached.
- Sign-off: your name, phone number and city.
Sample email
Subject: Application for Customer Support Executive: Priya Sharma
Dear Hiring Manager,
I am writing to apply for the Customer Support Executive position that I saw on Jobs Hub. I have recently completed my B.Com from Delhi University and I am comfortable speaking in Hindi and English.
During my internship I handled customer queries by phone and recorded them in Excel. I am punctual, a quick learner and ready to work in shifts.
Please find my resume attached. I would be glad to attend an interview at your convenience.
Thank you for your time.
Warm regards,
Priya Sharma

Replace the details with your own, and make each email specific to the job. Do not send the same message to every company.
Common mistakes to avoid
- A blank subject line, or a very long one
- Spelling and grammar errors, so read it once aloud before sending
- Forgetting to attach the resume
- Writing in all capital letters or using too many emojis
- Sending the email from an unprofessional address
- Attaching too many files. One resume is enough unless the post asks for more.
Follow up politely
If you do not hear back in about a week, send a short, polite reminder. Keep it two lines, mention the role and attach your resume again. Avoid sending more than one or two follow-ups.
Apply directly on Jobs Hub
Not every job needs an email. On Jobs Hub you can create a free profile, upload your resume and apply to a job with one click. Employers see your complete profile, and you can track the status of every application. You can also use our free resume builder to create a clean resume.
Conclusion
A good application email is short, specific and polite. Use a clear subject line, mention the role, show one or two relevant skills and attach a well-named PDF resume. Frequently asked questions
What should I write in the subject line of a job application email?
Mention the role and your name, for example "Application for Customer Support Executive: Priya Sharma". If the job post gives a subject line, use that.
Should I write a cover letter or put everything in the email?
For most fresher jobs, a short email body of 5 or 6 lines with your resume attached is enough, unless the post asks for a separate cover letter.
Which file format is best for a resume?
PDF is best because the layout stays the same on every device. Name it clearly, such as "Priya-Sharma-Resume.pdf".
How long should I wait before following up?
About a week. Send one short, polite reminder, and avoid repeated emails or calls.
Is it safe to email my resume to any company?
Send it only to the contact given in a genuine job post. Do not send documents or pay money to unknown people.
