Documents to Keep Ready When You Get a Job Offer

The moment you get a job offer is exciting, but a joining date can arrive quickly, and companies often ask for documents on the first day or within the first week. Missing papers can delay your joining, your first payslip or your provident fund set-up. This checklist explains which documents to keep ready, how to store them safely and what you should never hand over.

Why keep documents ready in advance

HR teams complete formalities in a short time. If you have your documents scanned and organised, you can send them within minutes and join without stress. Organising them early also helps if you are called for a campus or walk-in interview where a quick verification is needed.

Documents you usually need

Identity and address proof

  • Aadhaar card (commonly used for identity and address)
  • PAN card (needed for salary and tax records)
  • Passport, driving licence or voter ID (as alternatives or extra proof)
  • Address proof if your current address is different from your ID

Education documents

  • 10th and 12th marksheets and certificates
  • Graduation or diploma marksheets (all semesters) and degree or provisional certificate
  • Any other certificates, such as a post-graduation or a course certificate relevant to the job
  • Transfer or migration certificate, only if the company asks

Work and experience documents

  • Internship certificates and letters, if any
  • Previous offer, relieving and experience letters, if you have worked before
  • Salary slips of the last few months, if you have worked before

Job and joining documents

  • Offer letter and any appointment letter
  • Updated resume and passport-size photographs (keep several copies)
  • Bank account details: account number, IFSC and a cancelled cheque or the first page of the passbook, because salary is paid to a bank account in your own name
  • Joining forms and declarations that the company gives you

Provident fund and other details

  • UAN (Universal Account Number) if you already have one from earlier work. If this is your first job, the employer usually helps you create it. You can read about it on the EPFO website.
  • Mobile number linked with Aadhaar for verification steps

A simple way to organise

  1. Make a folder on your computer or phone called "Job Documents".
  2. Scan or take clear photos of each document and save them as PDF with a clear file name such as "Aadhaar-Priya-Sharma.pdf" or "12th-Marksheet.pdf".
  3. Keep a second copy in a safe cloud folder and on a pen drive.
  4. Keep the original documents at home and carry only the ones the company asks for. Many companies ask to verify originals and then return them the same day.
  5. Print a few copies of the resume and your photograph.

The government's DigiLocker service helps you keep digital copies of many official documents, such as marksheets from participating institutions, in one place.

What you should NOT hand over or share

  • Original certificates to be kept by the company unless it is a genuine, written arrangement you fully understand. Be cautious if a company wants to hold your original degree for a long time.
  • OTPs, passwords, UPI PIN, ATM PIN or card details. No employer needs these.
  • Money in any form for joining kits, security, training or file charges.
  • Unsigned blank papers or forms.

If someone asks for these, pause and read our guide to fake job offers. Report cyber fraud at the National Cyber Crime Reporting Portal.

Before you sign the offer letter

Read the salary, probation, notice period and any bond. Learn how to understand the numbers in our guide to CTC and in-hand salary. If something is unclear, ask HR politely and get the answer in writing. Do not accept an offer you do not understand.

Documents for interviews and walk-ins

For an interview or a campus drive, carry at least: printed resumes, one photo ID, marksheets and certificates (copies), passport-size photos and a pen. See our guide to campus placement preparation for a full day checklist, and 15 common interview questions to prepare.

What to do after joining

  • Keep a copy of your signed offer or appointment letter and joining form.
  • Note your employee ID, HR contact and the salary date.
  • Check your first payslip and your PF details.
  • Ask when you will get your confirmation or any policy documents.
  • Keep all job documents saved safely for future use.

Conclusion

A little preparation makes joining smooth. Collect your identity, education, bank and joining documents, scan and name them clearly, keep originals safe, and never share OTPs, PINs or money. Frequently asked questions

Which documents are needed to join a job in India?

Commonly identity and address proof (such as Aadhaar and PAN), education marksheets and certificates, passport photos, bank details, your resume and the offer letter. Experience and relieving letters are needed if you have worked before.

Should I give my original certificates to the company?

Usually companies only verify originals and return them. Be careful if a company wants to keep them for long and never agree without a clear written arrangement.

Only to verified HR contacts of a genuine company. Do not send documents to unknown people or for jobs that ask for fees.
